REGISTRATION Registration is a very important process because it focuses on entering runners into your race in an efficient and organzied manner. There are two main aspects of this process: pre-registration and registration. Pre-registration includes everything that occurs before the kit pick-up begins (this will be explained in more detail on the kit pick-up page). Everything else is registration, with the exception of race day registration. Pre-registration includes any runners that mail or fax their entries in prior to kit-pick up date. This means that the forms will be entered into the computer in order to create a database. This is important because RRResults (assuming you are not doing manual results) will then prepare labels in order to stick on the back of the bib numbers. The bibs are then placed in alphabetical order so that the kit-pick up process is easy and fast. We also prepare alphabetical lists of all the entrants. Kit pick-up must be organized so that it is a process that operates smoothly for both the runner and the volunteers or employees. For kit pick-up you will require:
Kit pick-up will consist of pre-registered runners coming into the location to pick up their bib numbers and kits and will also consist of new runners coming in to register. As incentive for pre-registration, races usually offer a monetary discount to runners who register early (race day registrations should pay full price) If a runner is pre-registered, the volunteer must search for the bib (according to last name) and give it out with a race kit. Then they must cross the runner's name off the list. No money should be exchanged. IF the runner is picking up for friends/co-workers/family members, point out that the names are on the backs of the bibs and that it is imperative that they all wear the number that was assigned to them. If a runner is registering for the first time (therefore, they are not PRE-registered), a different process must be adhered to. The runner will fill out an entry form and then hand it to the volunteer/worker along with a cheque, cash or some type of credit card. The volunteer/worker must pull a blank bib from the pile and assign it to the runner. First, this bib number must be recorded onto the entry form, then the volunteer MUST fill out the back-up sheet (a four column sheet with bib number, name of runner, sex and age). They also must fill it out while the runner is still there. Finally, the runner should be given a race kit. IF the runner is registering for more than one person (i.e. friends/ co-workers/ family members etc.) the volunteer/worker MUST write the runners' names onto the backs of the bibs and point out that they all must wear the ones that were assigned to them. Registration should move smoothly so that all the runners are enetered with the correct information and with the right bib number/sex/age (which is why the back-up sheets are so important).
